Who we are

Altrincham All Rounders is a volunteer-run women’s rounders club based in Altrincham. We train at Stamford Park and play in the Manchester Women’s Rounders League (MWRL). In this policy, “we”, “us” and “the club” mean Altrincham All Rounders.

We are responsible for the personal information described here. If you have any questions, or want to use any of your rights, email us at altrinchamallrounders@gmail.com.

What information we collect and why

When you contact us

If you use the contact form on this website, we collect your name, email address, phone number (optional) and your message. The form emails your message to the club inbox, and a copy is also saved securely in the website’s admin area. If you email or message us directly (for example through Facebook, Instagram or TikTok), we receive whatever details you send.

We use this only to reply to you and help with your question. Our lawful basis is our legitimate interest in answering enquiries about the club.

When you come to training or join the club

If you train or play with us, we may keep basic details such as your name, contact details and an emergency contact. We use these to organise sessions and matches, collect session fees, keep in touch, and look after you if something goes wrong. If you play in league matches, we may need to share your name with the Manchester Women’s Rounders League for team registration.

We only ask for health information (for example, a medical condition or injury we should know about) if you choose to tell us so we can keep you safe. We’ll only use it for that purpose.

Our lawful bases are legitimate interests (running the club), contract where you’ve joined as a member, and consent for anything optional, such as health information you choose to share.

Photos and videos

We sometimes take photos and videos at training, matches and socials and share them on this website and our social media. If you’d rather not appear, just tell us at the session or email us, and we’ll respect that. If you appear in something we’ve already posted and would like it removed, let us know and we’ll take it down.

When you visit this website

This website does not use analytics, advertising or tracking cookies. Like all websites, our hosting provider’s servers automatically log technical information such as your IP address, browser type and the pages you request. This is used to keep the site running and secure, for example to block spam and attacks. See our Cookie Policy for more detail.

The site’s fonts are loaded from Google Fonts. This means your browser connects to Google’s servers, which receive your IP address.

Who we share your information with

We never sell your information. We only share it where needed with:

  • Our website hosting provider, which stores the website and contact form entries.
  • Google, which provides our club email account (Gmail) and the fonts used on this site.
  • The Manchester Women’s Rounders League, for match and team registration, if you play in the league.
  • Social media platforms (Facebook, Instagram and TikTok), if you contact us there or appear in a photo we post. The links on our site take you to those platforms, which have their own privacy policies.

Some of these providers may process data outside the UK. Where they do, they use appropriate safeguards required by UK data protection law.

How long we keep it

  • Enquiries: we delete contact form entries and enquiry emails within 12 months, unless you’ve gone on to join the club.
  • Player and member details: we keep these while you’re involved with the club and for up to one season afterwards, then delete them.
  • Photos and videos: posts stay up until you ask us to remove them or we tidy them up.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that’s wrong
  • ask us to delete your information
  • object to, or ask us to limit, how we use it
  • withdraw your consent at any time, where we rely on consent

If you’re unhappy with how we’ve handled your information, please talk to us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

We may update this policy from time to time. The latest version will always be on this page.
